Where: The office, Greenfish Resource Centre

Anyone who's interested, we'll be meeting during the middle of the week for anyone who can't make it today!

Sorry guys, got the details of what happened on Saturday here =D
LOTS of ideas were discussed and considering this, ideas may be changing or put off til the next event, etc, at the next meeting:

The initial first meeting went off a few ideas started by cotsie100.
He suggested a project that involved a relaxed cafe atmosphere poetry reading afternoon.
This would be in a cafe like Nexus / Teacup / Coffee Pot / Earth Cafe
It would involve:
- Drinks
- Picnic Setup
- An acoustic set playing jazz in the background
- An emphasis on being so laid back that there is no microphone for the poets
- A possible art corner
- Stalls to give out information and for artists to produce their work and possibly sell.
- To happen on a Sunday afternoon.

A couple of dates were thrown in for preliminaries.
- The 8th or 15th August
- The 5th or 12th September.

After meeting with Josh and Katya, we arranged another meeting which we had on Saturday =) Josh, Sarah, Katya and Katy came to this and shared their ideas.

We wrote out a project overview form:

- The name of the project? The Poetry Picnic

- Brief Description:
To try and get poets who haven't performed before up on stage to read out their poems infront of their peers (16-25).
A relaxed cafe atmosphere with soft drinks, tea, coffee, cupcakes, cakes, food etc. An acoustic band, young artists and stalls that provide information or artwork from the young artists.

Outcomes:
- Young people to express themselves in more public surroundings.
- To boost young poets confidence.
- To provide a safe environment for young people to gather and enjoy themselves.
- Good opportunities for first time volunteers.

Tasks for volunteers:
- Managing the stalls
- Poets - writing and performing -
- Designing flyers
- Guerella box promotion
- Acoustic band
- Handing out flyers
- Someone on the door
- Photographer

Evidence needed?:
- The feedback on the website!!! It's been brilliant =)
- A lot of poets want the chance to perform. There's a need in the scene for new poets to have somewhere to start out and feel comfortable doing so.

We wrote out some volunteer descriptions for the roles listed above!

Then we moved on to the flyer and decided on a design and what should be included for the first event!

Design:
Woodland theme with a picnic table - Trees have faces, squirrels with teacups, cupcakes. Something kooky and fun =)
We decided it would be fun to have a continuous design (with the woodland idea) with something different each time, like the squirrels have rabbits to join them or more and more cupcakes etc.

The flyer should include:
Date
Time
Venue
Price (Free for the first event)
Josh's Email to apply for the slots
16-25 age range for open mic slots
Mystery Guest
Mystery Headliner
website address


A quick outline of the day:

Doors open!
-30 mins to mill around and chat and get drinks and food
- Open mic slots - 5 minutes each! Maximum of ten slots
- Break for 30 minutes for the acoustic band to play and people to talk and discuss the open mic performances
- Introduce Urban Alternatives & ask if people want to get involved for 5 - 10 minutes
- Guest - 15 minutes
- Headliner - 25 minutes
- Then there would be a discussion for 20 minutes with the Guest and Headliner at the same time.


We then drew up a schedule of dates for when we'll have things done by, and when we'll meet to discuss the plans leading up to the date!:

Poster - same or similar to flyer but twice as big!
Send flyer/poster off to be printed
Tyvek wristbands to be ordered?

- Saturday 31st July -
Hand out flyers!

- Saturday 7th August -
Hand out flyers and Guerella box on Urbis!

EVENT! Sunday 8th August (preliminary date)!

well i can help with Arty stuff...Like a backdrop for the theme? or help with media (Photography)...but I am mostly interested in reading my poems out etc. :)

Wooooo =D it'd be cool to design a backdrop =) but for the first event we just need to kickstart it, then we can look at adding stuff in to it like that!

I'm so glad to hear that =) It's good to see that this project is helping you, is it the expressive side of it?
Poetry can be very deep and a lot of sharing is done of personal feelings and as long as people are comfortable with it, it can definitely help build confidence =)

Back from london!
I've seen the progress for the posters and they look ace and the venue trip sounded interesting, certainly won't be going to teacup any time soon.
Have we got anything 100% confirmed yet.
My friend has found an acousticy/jazzy/interesting band that are intrested, just need to give them a date now

Waiting to hear back from Earth Cafe, they sounded the most promising, if i haven't heard from them by tomorrow, i'll go back again and hint that we would like to know sooner!

I rang Koffee Pot and no answer, (no voicemail option) will text and ring again!
