Which colour do you prefer?
I think we should go for the second option because of the bigger writing (as the writing is bigger and more obvious for when the size of the badge is made smaller to fit next to our names!)

This could be given out for free, zine style, to young alternative people. This could help promote the poetry picnic project and Urban Alternatives, boost some confidence among us all, promote the young people's poems in the book and be a GREAT thing to do! |

I've emailed Nexus, still waiting on a reply, will ring in a bit if there's no reply by this afternoon. Earth Cafe have still not got in touch. I'll also be ringing the Koffee Pot this afternoon too.

The book idea sounds excellent. Theres no reason why we shouldnt.
Im looking forward to seeing more details.

Still waiting for replies from venues =/ I'll do more ringing tomorrow!
Has anyone seen any particular poems they think should be included? Or any of your own that you would want to be included? Don't be shy =)

Thanks for your email and interest in Nexus. Please find attached a booking form which contains more info about hiring our space. It sounds like your event would work well at Nexus.
Please return the completed form if you wish to go ahead. There is no charge for using the space during opening hours, however, we would ask you to cover the cost of an extra member of staff who would be on hand to help facilitate your event and help cafe staff deal with increased busyness.

Payment for the event must be made in full on or before the day of the event via the above methods (see below for costings).
Terms & Conditions
We take the booking to be an agreement to accept and abide by these terms and conditions:
Max capacity 150
Venue closes at 11pm, bookings start from 7pm.
All bookings are subject to approval by the management. The nature of the group and the content of meetings must be part of the ethos of Nexus.
Our exhibitions change frequently and any events must work round the set up and displays at the time of the event.
Any damage caused by users to the fabric or furniture of the building, and any breakages, must be paid in full.
We accept no responsibility for accidents to users caused by failure to use equipment properly, or arising from use of equipment, utensils etc by inappropriate people.
We accept no responsibility for the personal security of room users, or for any loss of, or damage to room users’ personal possessions in what is a public building.
We ask that respect be shown to staff, volunteers and people from the wider Nexus community.
Users are responsible for making themselves familiar with the procedure in case of fire.
A non-refundable £50 deposit is required to secure bookings and should be included with this form. The deposit amount will deducted from the final invoice at the end of the event on the condition that terms and conditions are abided and the space is left as it was found. We reserve the right to charge users for cleaning and moving furniture, if more cleaning is required than would normally be expected.
Gambling, the consumption of alcohol and smoking is not permitted anywhere in the building. It is the responsibility of the organizer of the event to ensure that this is made known to invited groups and audiences attending. We reserve the right to retain the £50 deposit if any of these activities take place.
Costings*
• £32 per hour (includes sound desk, lighting rig and 2 staff)
• Small PA available for £20 per session
• Projector available for £10 per session
Refreshments: All refreshments must be bought from the café. Buffets are available starting at £3.50 per head (menu available on request).
Volunteers
Nexus has a large pool of volunteers available to help out with community events. We would encourage event organizers to tap into this valuable resource. Organizers should bear in mind that volunteers donate their time in exchange for gaining quality experience, meeting people and having fun. If you feel that volunteers would benefit you, and would benefit from getting involved with your event then please email Steph at volunteer@nexusartcafe.com with your specific requirements
* Nexus is committed to supporting groups and individuals who have smaller budgets. In certain circumstances we can work out costings out together.

Also had an email from Dominic from Earth Cafe. What do you guys think of this?
"Hiya,
Thanks for enquiring about getting events on at Earth Cafe. Let me give you some info on what's happening there right now.
This week is the final week of Earth as it has been lately. This week Earth will be open as normal. Then, after it closes on Saturday 24th July, it will stay closed for 2 weeks.
It will reopen in a different way at 11am on Monday 9th August. Full opening days and times from then on are yet to be announced.
On Monday 11th there will be some acoustic music acts playing throughout the day for free and some changes to the menu.
There are no plans for Earth to stop selling all vegan food. But the menu will change. A lot of people have been giving their opinions on what they do and don't like about the food, the prices and the different things that happen at Earth and the new look Earth will be a result of having listened to all this.
There will be a much greater focus on having regular events at Earth. The existing ones have been really popular and well received so there are plans for a great deal more to happen in this space- especially in the evenings. Earth are really keen on supporting people in the community to getting their events happening and using the cafe as a space for this to happen.
I'm going to be working with Earth for a bit to help set up lots of different types of events- I don't just mean poetry, I mean music, comedy, live art exhibits, meetings, clubs- you name it! The people who will be staffing Earth will be really keen to support and assist events organisers and those who attend the events.
I have a meeting with our financial advisor this Thursday. Following that meeting, I will email you again. In the meantime, it'd be great if you could message me with an outline on the kind of thing you were interested in getting on at earth?

Right, back from Latitude so i'm all focused.
Right, so does this mean that if it happens at nexus we might have to do it at night? hm potentially problematic as we'd have to change to idea a little.
Earth Cafe might not be as welcoming to the idea because Dom does run some poetry nights there already but theres still reason to ask.
I just hope we get a date as soon as

Potential problems with Earth Cafe:
- It's going to be closed for 2 weeks, which will limit our contact with them for organising. However, Dominic might still be available to plan the event.
- Size - we'd need to go down and have a proper look. Especially if we want an acoustic set playing.
Potential problems with Nexus:
- Night time on a sunday. Travel.
- We were aiming for something in the afternoon - however, it does say we can have a discussion with them about these things. Also, if we are to hire out the venue and pay for a buffet, I'm sure we can ask them to have it on a sunday afternoon.
I'm thinking of trying to get a meeting with the manager at Nexus, it would be good to have you guys along to it, what do you think?

I rang three times yesterday and it rang out on all three occasions. I tried at 13:41 today, no answer again.
After my lunch, I'll walk there (as I'm in the office today) and see what's going on.

Aye, it's been hectic! After ringing about 4 more times, i sent them an email whilst having my lunch before i was going to head out there and hey presto! 10 minutes later i had a reply which was good =)
